Answers to common questions about setting up and running timedule.
timedule is online booking software for salons, clinics and other appointment-based businesses. You get your own booking page, a booking form for your website, a calendar for your staff, client management, and email and SMS reminders.
Create an account. You get immediate access to the dashboard, and a short setup guide walks you through the first steps.
Clients can book once these four things are in place:
Then share your booking link from the Booking website page.
Yes. Every new account gets a 14-day free trial, and you don't need a credit card to start. SMS messages cannot be sent during the trial; email reminders work as usual. To keep your booking page running after the trial, choose a plan on the Billing page.
The booking page, reminders and dashboard work in English, Estonian, Finnish, Latvian, Russian, Spanish, Turkish and Ukrainian. Set the default language of your booking page and messages under "Primary Language" on the Settings page. Clients can switch the booking page to another language.
Yes, timedule fits all types of appointment-based businesses: hair and beauty salons, barbershops, massage and physiotherapy, dental and veterinary clinics, fitness studios, tutors, photographers, car services and more. You set up your own services, staff, locations and working hours, so your booking page shows exactly what you offer. You can rename the "Provider" label, for example to Trainer or Doctor, and ask clients your own questions when they book. If a booking needs a room, bay or piece of equipment as well as a staff member, switch on bookable resources on the "Features" tab of the Settings page.
Driving schools get a ready-made setup: on the same tab, choose "Driving school" as your type of business. The dashboard then talks about instructors, students and lessons, the Vehicles page is switched on, and timedule adds what you don't have yet: example manual and automatic lessons with two example cars, and a theory class. Rename or delete the examples to make them your own; a checklist on the dashboard home shows what is left to set up. Choosing "Other" later brings back the standard wording and removes the examples again, unless you have changed or used them, for example a lesson that has bookings. Your bookings, clients and staff are never touched.
Open the Booking website page and go to the "Link & embed" tab. Copy your booking link and share it on Instagram, Facebook, Google, in emails or anywhere else. The same tab has a QR code you can download as a PNG and print for your front desk or flyers.
Open the Booking website page, go to the "Link & embed" tab and copy the code under "Integration into your website". Paste it into your website where the booking form should appear. It works with most website builders that let you add custom HTML.
Yes. On the Booking website page, click "Change your booking address" and choose a new address, for example yoursalon.timedule.com. The address must not be taken by another business. Remember to update links you have already shared.
On the Booking website page, the "Appearance" tab lets you pick a background (or upload your own image), change the page layout, choose large or compact time slots, and switch between the new and the classic design. Use the preview to check the result on desktop and phone.
Yes. On the Booking website page, the "Appearance" tab has a "Services and staff" section. There you can hide service durations, show the staff picker above or below the calendar or hide it, make it larger, and change its text. You can also rename the "Provider" label in the booking summary, for example to Trainer or Doctor.
Yes. On the Booking website page, the "Custom content" tab lets you add content to the page header and a note under the calendar, for example parking instructions or your cancellation policy.
Yes. On the Booking website page, open the "Booking form" tab and click "Add question". There are three types:
Text and list questions can be required. Under "Translations" you can enter each question in other languages, so clients see it in the language of the booking page. The answers are shown in the booking details and in the new booking notification email.
Yes. On the Booking website page, the "Appearance" tab has a "Custom CSS" field under "Custom styles and tracking". The CSS is added to your booking page, for example to change colours or fonts. Updates to the booking page can make custom CSS stop working, so check your page after saving and after major changes.
Yes. On the "Appearance" tab of the Booking website page, enter your Google Analytics 4 measurement ID (it starts with G-) or your Meta Pixel ID under "Custom styles and tracking". Visits to your booking page are then recorded in your own account. When a client books, Google Analytics receives a create_booking event and Meta Pixel a Schedule event, which you can use to measure your ads. Where the law requires it, you are responsible for asking your clients for consent to tracking.
Yes. In the "Booking rules" tab of the Booking website page, under "Redirect a user after booking", enter the address of the page clients should see after they finish booking, such as a thank-you page.
Open the Services page. First add a category (for example "Haircuts"), then add services to it with a name, price and duration. Assign each service to the staff members who provide it, otherwise clients cannot book it.
Yes. When you edit a service, choose the price type: "Fixed" shows the exact price, "From" shows it as a starting price, and "Hidden" does not show the price to clients at all.
Pick one of the suggested durations or choose "Other" to enter your own. The shortest service is 5 minutes. The duration decides how much of the staff member's time a booking takes.
Yes. Edit the service and fill in the service description. It is shown to clients on the booking page, which helps them choose the right service.
Yes. On the Services page, open a service and choose an image (JPG or PNG, up to 2 MB). It is shown on the service card of your booking page. A new service has to be saved before you can add its image.
Yes, by default clients can pick more than one service in a single booking, and the durations add up. To limit bookings to one service, turn on "Allow only one service per booking" in the "Booking rules" tab of the Booking website page.
Open the Staff page and click "Add new staff". Enter their name and email and choose the location where they work. Then assign services to them and set their working hours. The number of staff members you can add depends on your plan.
On the Staff page, click "Set Photo" on a staff member without a photo, or the pencil icon to change an existing one. The photo is shown to clients on the booking page.
Yes. On the Staff page, edit a staff member and fill in "Short bio" (up to 300 characters), for example their specialisation or the languages they speak. It is shown under their name in the staff picker on your booking page.
Yes. When adding or editing a staff member on the Staff page, turn on "Enable dashboard access". You can then choose which pages they can see, such as Bookings, Clients or Settings, so a staff member can manage their calendar without seeing billing or other settings.
Open the Availability page, choose a staff member and add their default weekly hours under "Default hours". Clients can only book times inside these hours.
On the Availability page, add a break to the staff member's default hours. Clients cannot book during breaks. Breaks cannot overlap each other.
On the Availability page, add a day under "Custom schedule". Choose "Mark as unavailable" for a day off or holiday, or set different hours for that day. The custom schedule replaces the default hours for that date only.
Yes. On the Availability page, set the "Available for booking from" and "to" dates for the staff member, for example for seasonal staff or someone who starts next month. Outside that period clients cannot book them.
Check the following, in this order:
A location is a place where your staff work and provide services. If you have more than one, clients first choose a location and then see the staff and services available there. You can add as many locations as you want at no extra cost.
Open the Locations page and click "Add new location". In the address field you can add tips for clients, such as "first floor, next to the elevator". Click on the map or drag the pin to set the exact spot shown on your booking page.
The timezone tells timedule where the location is, so your booking page and reminders show the correct local time. When you choose a timezone, the current time there is shown so you can check it is right.
Cars, rooms, bays or equipment that a booking needs as well as a staff member, for example a driving lesson that needs a car or a treatment that needs a room. Switch on "Bookable resources" on the "Features" tab of the Settings page and choose what you call them: vehicles, rooms, bays, equipment or resources. Your booking page then only offers times when both the staff member and a resource they can use are free.
Switching it off keeps your resources and settings, and bookings work as before.
Once bookable resources are on, the dashboard menu has a page for them, named after what you call them, for example Vehicles or Rooms. Click the add button (for example "Add vehicle") and fill in:
Then choose on each service which resources it needs.
On the Services page, edit the service and select, under "Requires a vehicle" (or room, bay and so on), the resources it can use. Each booking of that service then gets one of them that is free at that time. If a service needs more than one thing, for example a room and a laser, click "Also requires something else", and set how many of each a booking needs. A service can have up to 5 requirements. Leave it empty if the service needs nothing.
Yes, for example an instructor's own car. Edit the resource and set "Who can use it" to "Selected staff", then choose them. You can also choose a staff member's resources when you edit them on the Staff page. If a staff member can't use any resource a service needs, that service can't be booked with them, and the dashboard warns you.
Edit it and click "Add unavailable time". Enter from when until when it is unavailable and, if you like, a reason such as an inspection. Nothing new can be booked with it during that time. Times are in the location's time zone.
Automatically. When a client books, timedule picks a resource that the staff member can use and that is free for the whole booking. Clients don't choose it. When you add a booking on the Bookings page, you can leave it on "Automatic" or pick a specific one. If you change the services of a booking, its resources are checked again; if none is free for the new services, you are told that the booking no longer has one.
Bookings that use it stay booked, but nothing new can be booked with it. Before you delete it, the dashboard tells you how many upcoming bookings use it.
On the dashboard home, switch the calendar to the view named after your resources, for example Vehicles. It shows the day with one row per resource. The booking details show which resource a booking uses. The Statistics page shows each resource's booked hours and, for resources with their own working hours, the share of those hours that was booked.
Yes. While bookable resources are on, you can use ${resourceName} in your email and SMS texts on the Settings page; it is replaced by the name of the booking's resource. Driving schools can also use ${resource_plate} for the car number. The variables are listed next to the message editor.
With "Driving school" as your type of business, each car has a "Car number" field. Edit the car on the Vehicles page and enter its number. It is shown next to the car's name on its card, in the car picker when you add a booking, in the booking details, and to the student when they finish booking. Reminders can include it too.
If you change a car's name or number, lessons that have already started keep the name and number they were taken with, and upcoming lessons show the new ones. When you get a different car, add it as a new vehicle and delete the old one, so past lessons keep the old car.
For bookings made by phone or in person, use "Add new booking" on the Bookings page or the calendar. Choose the staff member, client, services and time. "Quick Booking" shows the first available times, and you can add the client's details then or later.
The calendar on the Home page shows your bookings by day or by week. Click a booking to see its details. Use the search at the top of the dashboard to find a booking or client quickly.
Open the booking from the calendar or the Bookings page and click "Cancel this booking". The booking stays in your history marked as cancelled, and the time becomes free for other clients.
Yes. Email confirmations and reminders include a cancellation link, so clients can cancel without calling you. Cancelled bookings are marked in your calendar. SMS messages cannot contain links, so the cancellation link is only sent by email.
Yes. Turn on "Manually confirm bookings" on the Settings page. New online bookings then wait for confirmation, and you confirm each one from the booking details.
On the Settings page, turn on "Receive new booking notification" and enter the email address that should get a message whenever someone books.
The email also includes the client's answers to your extra booking questions.
Yes. In the "Booking rules" tab of the Booking website page you can:
The Statistics page shows the number of bookings and revenue for any date range, and which services and staff members bring in the most. You can filter by location and switch between charts and tables.
Yes. Every client who books online is added to the Clients page. You can also add existing clients yourself with "Add new client". Each phone number can belong to only one client.
Yes. Open a client on the Clients page to see their contact details, past and upcoming bookings, number of cancellations and the total value of their bookings.
On the Settings page you can turn on email reminders, SMS reminders and booking confirmations by email and SMS. Reminders are sent 24 hours before the appointment. Email messages are free; SMS messages are paid from your SMS balance.
Yes. On the Settings page you can edit the subject and text of every email and the text of every SMS. Use variables such as the client name, booking time, staff name, services and price; they are filled in for each booking. The list of variables is shown next to the message editor.
Set both on the Settings page so clients recognise your messages. The SMS sender name can be up to 11 characters, using only letters A-Z and numbers 0-9, without spaces or special characters. The email sender name can be up to 50 characters.
SMS messages are paid per message at local prices, which depend on the destination country. See the prices on the Pricing page or with "View SMS price" in the dashboard.
Open the Billing page and add credit under "SMS credit". The minimum top-up is 5. Your balance usually updates within a few minutes after payment. SMS sending is not available during the free trial.
Links are not allowed in SMS messages, because mobile networks often flag messages with links as spam and may not deliver them. Put links, such as the cancellation link, in email messages instead.
Reminders are sent 24 hours before the appointment, so bookings made less than 24 hours in advance do not get one. Also check that:
On the Settings page, find "Online payment" and connect PayPal, Stripe, Square or Dragonpay; each one shows the keys it needs. Then choose whether clients pay the full amount or a fixed deposit when booking.
Yes, per service category. Set a default deposit under "Online payment" on the Settings page, then set a custom deposit on any category on the Services page. Categories without a custom amount use the default.
No. Payments go directly to your own PayPal, Stripe, Square or Dragonpay account. timedule never takes a cut of your bookings or payments; only the payment provider's own fees apply.
Plans differ only in the number of staff members. Every plan includes unlimited clients, services, bookings and locations. See current prices on the Pricing page. SMS messages are paid separately.
Open the Billing page and select a plan. You can move to a larger plan at any time. To move to a smaller plan, you first need to have no more staff members than the new plan allows.
You can pay by bank card, or choose bank transfer to receive an invoice by email; your account is activated once the payment arrives. Add your billing details, such as company name and VAT number, on the Billing page.
Open the Billing page and click "Cancel subscription". When the account is no longer active, your booking page stops accepting bookings. You can reactivate it at any time by choosing a plan.
Your booking page stops accepting bookings and reminders stop being sent until you choose a plan on the Billing page. Your services, staff, clients and bookings are kept.
